These instructions show you how to start or stop automatically moving messages tagged as [SMCM-SPAM], as these could carry viruses in them, to a folder called Junk Email in your local email application. The applications outlined here are Mac Mail, Microsoft Entourage, Microsoft Outlook, and Webmail. If you set up a rule in Outlook Web Access (Webmail) to move messages tagged [SMCMSPAM], you do not need to setup a rule in your own mail application.
Mac Mail
To Start Filtering
- After opening Apple Mail, in the Mail menu, select Preferences, then select the Rules section.
- Click Add Rule.
- In the Description: field type “SPAM Folder”.
- Click From to open the drop down menu and select Subject.
- In the text box to the right of Contains, type “[SMCM-SPAM]”.
- In the Perform the following actions: section, ensure that Move Message is selected.
- Click Inbox to open the drop down menu and select Junk Email.
- Click OK.
- If asked if you want to apply the rule to open mailboxes, select Yes.
- Close the Preferences window.
To Stop Filtering
- Open the Rules section in the Preferences window from the Mail menu.
- Select the rule named SPAM Folder.
- Click Remove.
- Confirm that you want the rule deleted by clicking OK.
- Ensure that the rule has gone.
- Exit the Preferences window.
Entourage
To Start Filtering
- After opening Entourage, in the Tools menu, select Rules, then choose the type of rule based on the type of connection your copy of Entourage uses. If you typically check your mail through ResNet or from off campus without using the VPN, you will be choosing IMAP or POP. If you check your mail only through the main network or through the VPN, you probably use Exchange.
- In the Edit Rule pop-up window under Rule name: type “SPAM Folder”.
- Click All Messages to open the drop down menu and select Subject.
- In the text box to the right of Contains, type “[SMCM-SPAM]”.
- Click Change Status to open the drop down menu and select Move Message.
- Click Inbox to open the drop down menu and select Junk Email.
- Click OK.
- Close the Rules window.
To Stop Filtering
- Open the Rules window from the Tools menu.
- Select the rule named SPAM Folder.
- Click Delete.
- Confirm that you want the rule deleted by clicking Delete.
- Ensure that the rule has gone.
- Exit the Rules window.
Outlook
To Start filtering
- After launching Outlook, in the Tools menu, select Rules and Alerts.
- In the Rules and Alerts pop-up, click on New Rule....
- In the Rules Wizard pop-up, ensure that the Start creating a rule from template radio button is selected.
- Under Step 1:, select Move messages with specific words in the subject to a folder.
- Under Step 2:, click on the underlined specific words.
- In the Search Text pop-up, type “[SMCM-SPAM]” in the first field.
- Click Add.
- Click OK.
- Click on the underlined word specified.
- In the new window, pop-up select the Junk E-mail folder.
- Click OK.
- Click Next >.
- In Step 1: Select condition(s), uncheck on this machine only.
- Click Next >.
- Click Next >.
- Click Next >.
- In Step 1: Specify a name for this rule, type “SPAM Folder”.
- In Step 2: Setup rule options, select Run this rule now on messages already in "Inbox".
- Ensure that the Turn on this rule box is checked.
- Click Finish.
- Click OK.
To Stop Filtering
- In the Tools menu, select Rules and Alerts.
- In the Rules Wizard pop-up, select the SPAM Folder rule.
- Click X towards the top of the pop-up.
- Confirm you want the rule deleted in the pop-up by clicking Yes.
- Click OK.
Webmail
To Start Filtering:
- Once logged into your Webmail account, click on Rules in the lower left corner of the Webmail page.
- Click the New... button on the top of the page.
- In the Rule Name box, type “SPAM Folder”
- In the Subject contains box, type “[SMCM-SPAM]”
- Make sure the Move it to specified folder radio button is selected.
- Click on the underlined word specified.
- In the pop-up window, select the Junk Email folder.
- Click OK.
- Check that the message now says Move it to Junk Email folder.
- Click Save and Close at the top of the pop-up window.
- Check that a rule called "SPAM Folder" now appears in the list.
To Stop Filtering:
- Click on Rules in the lower left corner of the Webmail page.
- Select the rule labeled SPAM Folder.
- Click on the X at the top of the page.
- Click on Save and Close at the top of the page.
