Faculty guidelines for physical and electronic reserves

The information in this guide should assist you in preparing and submitting requests for reserve materials. If you have questions not answered below please contact Cheryl Colson directly at x4262. Her office is located in Collections Support Services, in Room 225, second floor of the Library.

Who can submit a request and where should I go?

  • Reserves may be submitted by you directly or by someone on your behalf. If a student is delivering materials for reserve, please be sure they have all the information they need to complete the reserve form (or send the prepared form with them).
  • You may come to the library or send request forms and materials through campus mail. You will need to bring or send the completed form to the Circulation Desk or directly to Cheryl Colson, along with any personal materials or photocopied articles. We cannot take requests for reserves over the phone.
  • You may drop off forms and items at the Circulation Desk at any time the Library is open, or bring them to Cheryl Colson in Collections Support Services (Room 225) between 8a.m.-5p.m. Monday-Friday.

What should I do before submitting requests?

  • Please check the online catalog before requesting that SMCM Library books be placed on reserve. If a book is currently charged out we will attempt to retrieve the book before it is needed for reserve. Items marked “missing” or “lost” are unlikely to become available. Consult your liaison for assistance.
  • If you submit a request form in advance for SMCM books or videos and include complete call numbers we will retrieve the items for you.
  • Please submit photocopies of book excerpts (include copies of the title and copyright pages) with your request form, or email Cheryl Colson a pdf attachment.
  • Submit photocopies of articles (or email a pdf) or indicate a source (a SMCM licensed online full-text source or free Internet access).

How do I submit a request?

  • Use the forms available online for physical course reserve or electronic course reserve requests. Forms are also available at the Circulation Desk. Please complete the request form using one form for each class. You will need to use a separate line for each copy of an item (if you have multiple copies of an article you will need a separate line for each so that each will receive its own unique barcode).

What information do I need for the form?

  • See the forms for details (physical course reserves, electronic course reserves). All information is required.

When will items become available?

  • The earlier you submit forms the better! We will try to process requests within 48 hours. We receive our largest volume of requests just before and just after the beginning of the semester, and we process them on a first come, first served basis.
  • Submit your syllabus with your Reserve requests and we’ll post the readings in the order they will be read in class. We will extend every effort to make readings available several weeks before they appear on your syllabus.
  • Please do not tell students that readings will be available the day you submit them. Sometimes students arrive here before you do!

What can I put on reserve?

  • Books, journal articles, and a/v materials can be put on physical course reserve. Reference materials, books from other libraries, and entire journal issues cannot be put on reserve.
  • Syllabi, sample tests, guides, class notes, articles, and book chapters can be scanned for electronic course reserves. Most class materials are password protected. You must comply with all copyright guidelines. Contact Terry Leonard in the library (x4265) for assistance.
  • We will not put the same materials on both electronic course and physical course reserve at the same time. This is a duplication of effort.
  • We will put personal items on reserve. Please bear in mind that we cannot be responsible for damage to your own materials.

Can I make changes?

  • You may change the loan period, add items, or remove items at any time by contacting Cheryl Colson with your request. To give a student or other faculty member permission to use a reserve item for longer than the reserve loan period, please contact Linda Russell, Carol Morris, or Beth Moser at the Circulation Desk directly (x4264).

How can I take materials off reserve?

  • You can request that we remove materials at any time by sending an email request to Cheryl Colson. Materials will be returned to you via campus mail.
  • At the end of the semester all physical and electronic course reserves will be removed and personal items will be returned to you.
