Resource Request Procedures and Guidelines
Resources request forms can be used by faculty to (a) submit a recommendation to license or subscribe to a new online database or print journal, or to (b) submit a recommendation for cancellation of a database license or print journal subscription.
Please follow the procedures outlined below for submitting your request:
Request to Add a Resource
- Forms are available from the links at the bottom of this page.
- Please complete the top part of the form. Be sure to include a justification that indicates how this resource will support your department’s curriculum as well as information about how you plan to incorporate use of this resource into the curriculum and to assess its value.
- Be sure to get your department chair’s signature.
- Submit the request to your Library liaison. Your liaison will obtain pricing information, evaluate content against other existing resources, and submit the form to the Library Director.
Request to Cancel a Resource
- Forms are available from the links at the bottom of this page.
- Please complete the first part of the form. Be sure to indicate why the database or print journal is no longer needed to support the curriculum.
- Be sure to get your department chair’s signature.
- Submit the request to your Library liaison. Your liaison will retrieve pricing data, consider the disposition of all Library holdings of the title, and submit the form to the Library Director.
Evaluation of Requests
- Requests may be submitted at any time. Review of requests occurs biannually. Deadlines for submission of requests are October 1 and February 1. October requests will be considered for implementation in January depending on current fiscal year budget. They may also be placed on a priority list for the following fiscal year (and will appear in the Library’s annual budget request). February requests will be considered for implementation in the next fiscal year.
- The collection development librarians will meet between October 1-14 and February 1-14 to evaluate requests, make pricing inquiries through the USMAI consortium, and formulate recommendations.
- The Library Director will meet with the Associate Provost for Academic Affairs, Faculty Resources Delegate, Librarian Faculty Senator, and other faculty as needed to evaluate the requests and make final recommendations.
- Decisions will be communicated to department chairs by the Library Director.
