Executive Assistant to the Vice President for Academic Affairs and Dean of Faculty
St. Mary’s College of Maryland is accepting résumés for the position of Executive Assistant to the Vice President for Academic Affairs (VPAA) and Dean of Faculty. The VPAA's office is responsible for hiring and supporting faculty and works regularly with the departments and programs to shape and maintain the college's academic offerings and operations. The Executive Assistant serves as the first point of contact in the VPAA's office and provides continuity, timely information, and administrative coordination for the VPAA and when relevant, other members of the leadership team. The Executive Assistant may deal with highly sensitive or controversial issues. The person in this position must consistently act in a highly confidential capacity and may also have the additional responsibility of supervision of other administrative support staff.
This position requires a strong attention to detail, timely customer service, approachability/friendliness, a capacity to analyze and interpret individual needs, manage competing priorities, and solve problems with both short-and long-term timelines. The Executive Assistant should be highly proficient with a range of office-oriented software, including use of spreadsheets and project management tools. The position also sometimes requires moments where you will need to quickly learn new systems and technology and actively participate in the development of new protocols and internal processes to support their implementation. Patience and flexibility are both essential.
Qualifications: Associate’s degree; Bachelor’s degree preferred; Minimum of 6 years demonstrated experience in the secretarial/administration field in a progressively responsible position. Higher Education experience preferred. Extensive experience with Microsoft Office and Google Suite, with proficiency in both spreadsheet development and management and/or other systems that track data and processes. Excellent verbal and written communication skills. Exceptional organizational skills. Experience regularly alternating between electronically-oriented work and in-person interpersonal communication that may otherwise interrupt your workflow. Capacity to work in an environment with many moving parts and people with varying viewpoints and experiences and to be patient and flexible with processes and workflow. Any combination of acceptable education and experience, which has provided the necessary knowledge and skills to fulfill the requirements of this position, may be considered.
